Nuthatch Retreat ("we", "us", "our") is committed to protecting your privacy. This policy explains what personal data we collect, why, how we use it, and your rights under UK data protection law (UK GDPR and the Data Protection Act 2018).

1. Who we are

Nuthatch Retreat, Brains Green, Blakeney, Gloucestershire, GL15 4AJ, is the data controller for the personal data described in this policy.

2. What data we collect

Depending on how you interact with us, we may collect:

  • Booking enquiries and reservations: name, email address, phone number, postal address, and any details you share about your stay (e.g. arrival/departure dates, number of guests, special requests).

  • Payment information: we do not store full card details ourselves — payments are processed securely by our booking platform Lodgify via payment provider, Stripe or via Airbnb or VRBO.

  • Newsletter and mailing list: name and email address, and which topics or partner offers you've opted in to receive.

  • Competitions: name, email address, telephone number and your answer to any competition question, collected via our entry form (currently hosted on Tally).

  • Website usage data: basic analytics such as pages visited and device/browser type (see Cookies, below).

  • Correspondence: any information you provide when you contact us by email, phone, or social media.

3. How we use your data

We use your data to:

  • Process and manage bookings, and communicate with you before, during, and after your stay

  • Send marketing emails and newsletters, but only where you've opted in

  • Run competitions, contact winners, and fulfil prizes

  • Improve our property, services, and website

  • Meet legal, tax, and accounting obligations

  • Respond to enquiries and provide customer service

4. Our legal basis for processing

  • Contract: processing needed to take and manage your booking

  • Consent: marketing emails, newsletter sign-ups, and competition entries which you can withdraw consent for at any time

  • Legitimate interests: improving our services, preventing fraud, and general business administration

  • Legal obligation: where we must keep records for tax or regulatory purposes

5. Who we share your data with

We may share your data with:

  • Booking platforms we list on and whom through your have contacted us (Airbnb, VRBO, Host Unusual, Boutique Luxury Retreats, Visit Dean Wye), who have their own privacy policies

  • Service providers who support us, such as our form/mailing-list provider (Tally) and email marketing platform

  • Competition prize partners, only for winners, and only as needed to arrange prize collection

  • Professional advisers (e.g. accountant), where necessary

  • Authorities, if required by law

We do not sell your personal data.

6. How long we keep your data

We keep booking and correspondence records for as long as necessary to fulfil the booking and meet our legal/tax obligations (typically up to 6 years). Marketing and newsletter data is kept until you unsubscribe or ask us to delete it. Competition entry data for non-winners is deleted shortly after the draw, unless you've separately opted in to our mailing list.

7. Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you

  • Ask us to correct inaccurate data

  • Ask us to delete your data

  • Withdraw consent to marketing at any time (e.g. via the unsubscribe link)

  • Object to or restrict certain processing

  • Request a copy of your data in a portable format

Our website may use basic cookies for functionality and analytics e.g. Google Analytics and Squarespace, and you may decline consent via the cookie consent banner at any time.

We may update this policy from time to time. The date at the top shows when it was last revised.
